Job description

A confidential real estate group is currently seeking a highly experienced Executive Assistant to support one of the senior partners and board members. This is a pivotal role that demands exceptional organisational, communication, and analytical skills. The ideal candidate will be proactive, discreet, and capable of handling a wide range of executive support duties with precision and professionalism.

Responsibilities:

  • Manage visitor access and handle inquiries with discretion and professionalism.
  • Represent the executive in meetings with internal and external stakeholders.
  • Review and analyse incoming reports, memos, and submissions to determine relevance and appropriate action.
  • Identify areas for operational efficiency and propose strategic improvements.
  • Coordinate complex schedules, travel arrangements, and meetings.
  • Conduct in-depth research and gather information from various sources to support decision-making.
  • Oversee office services, including budgeting, records, and personnel support as needed.
  • Prepare agendas, coordinate logistics, and document minutes for meetings.
  • Draft high-level correspondence, reports, and internal communications.
  • Maintain organised and secure filing systems, both digital and hard copy.
  • Manage the executive’s inbox and ensure timely response and follow-up.
  • Support strategic planning sessions, workshop facilitation, and cross-departmental alignment.
  • Assist in preparing business plans, dashboards, and performance reviews.
  • Utilise Power BI and other tools to create visual reports and dashboards for data-driven decision making.

Qualifications and Skills:

  • Bachelor’s degree from a recognised institution.
  • Minimum of 5 years’ experience in a senior-level executive support role.
  • Proven ability to manage highly confidential and sensitive matters.
  • Strong command of Microsoft Office and digital collaboration tools.
  • Experienced in using Power BI with excellent data interpretation and visualisation capabilities.
  • Strong analytical mindset with the ability to extract insights from complex datasets.
  • Experience in real estate or professional services is preferred.
  • Business planning and strategic initiative support experience is desirable.
  • Fluency in Arabic is a plus, but not essential.
