What You Will Do
- Coordinating complex scheduling, MENA LT team meetings and calendar management for the Manager, including scheduling meetings, appointments, and travel arrangements, and providing comprehensive administrative support.
- Capturing and processing data using various software, including word processing, spreadsheets, and PowerPoint presentation software.
- Assist in the planning and execution of special projects and initiatives.
- Manage all aspects of organization's office services. Evaluate and assist in developing office policies and procedures for improved workflow and anticipate future needs as the organization grows.
- Assist in the selection of vendors and to purchase equipment, services, and supplies necessary for the operation of the organization.
- Serve as the primary point of contact between the Manager and internal or external stakeholders and draft, review, and distribute communications on behalf of the GM.
- Plan and organize executive events, meetings, and conferences, both onsite and offsite (venue selection, catering, communication, travel arrangements, etc.).
- Handle sensitive and confidential information with the highest level of discretion and integrity, ensuring compliance with company policies and procedures.
What You Need
- Certified administrative professional or Executive Assistant Certification or similar.
- 3-5 years of experience as an administrative assistant, executive assistant, office manager, or in a similar administrative support role.
- Experience in coordinating projects or handling event management.
- Fluency in English.
- Advanced skills in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Experience with Google Workspace (Docs, Sheets, Drive, etc.) or other cloud-based tools.
- Ability to use document management systems (e.g., SharePoint, Dropbox, or Box) to organize and share files efficiently.
- Excellent communication, time management, and problem-solving skills.
