The Company

Asia Football Group (AFG) is the exclusive commercial agency for the Asian Football Confederation’s (AFC) competitions from 2023-2028. Our partnership with the AFC covers the commercial rights for all major AFC National Team and Club competitions, including the AFC Asian Cup, AFC Asian Qualifiers, AFC Women’s Asian Cup, AFC Women’s Olympic Qualifiers, AFC Champions League, AFC Cup as well as AFC youth and futsal competitions.

The Role

The Executive Admin, HR, and Services position will oversee and execute all aspects of office administration and provide human resources support to our employees in Dubai. In addition, the role will assist the Commercial Delivery team with administrative coordination as needed. This position is responsible to ensure the office operates smoothly and effectively under the established company guideline, policies, and standards.

This position is based in our Dubai office, reports to the Director of Administration & Corporate Events and functionally reports to the Senior Manager, Human Resources.

Key Responsibilities

Office Administration

  • Collaborate with building management, managing their portal, raising and submitting requests to the management company, and forwarding circulars to staff.
  • Ensure office cleanliness and maintain adequate supplies by managing inventory and coordinating with the admin team or vendors.
  • Assist staff requests and inquiries regarding the office, office supplies, new joiners, and leavers.
  • Maintain accurate records by regularly updating all folders and files, including vendor contact details.
  • Handle mail deliveries and efficiently arrange their distribution to respective colleagues.
  • Manage and represent the Social Committee for company social events.
  • Coordinate employee onboarding and offboarding processes, including workstation setup and collection of company assets.
  • Assist with and coordinate logistics related to HR training.
  • Any ad-hoc projects as assigned.

Human Resources

  • Handle general administration and employee engagement activities, including recruitment, new joiner enrollment, onboarding/offboarding, relocation assistance, and organising employee-related activities.
  • Ensure all backend HR processes are executed accurately and in compliance with company policies and procedures.
  • Maintain up-to-date employee records in both electronic and/or paper formats.
  • Support learning and development by managing training enrolments and maintaining accurate training databases.
  • Coordinate the company’s internship program, including recruitment, onboarding, orientation, and training.
  • Manage end-to-end logistics for internal and regional training events, including venue bookings, catering, travel arrangements, accommodation, and visa letters as needed.
  • Provide ongoing support and mentorship to interns through regular check-ins, feedback, and guidance.
  • Offer clerical and administrative support across HR functions, including tracking and following up on purchase orders for approval.
  • Promote internship opportunities through job postings, university outreach, and preparation of job descriptions.
  • Notify the IT team of new joiners via the onboarding form to support timely preparation of laptops, email access, and necessary IT equipment.
  • Any ad-hoc projects as assigned.

Commercial Delivery

1. Freelancer Recruitment & Onboarding

  • Identify and recruit qualified freelance Commercial Managers based on predefined selection criteria.
  • Maintain a strong network of freelance Commercial and Broadcast Managers across the West region.
  • Conduct screening, interviews, and evaluations to ensure high-quality talent onboarding.
  • Manage onboarding activities, including contract preparation and documentation.

2. Freelancer Assignment Management

  • Monitor and track active freelancer assignments and contract timelines on Smart Tracker.
  • Collaborate with internal stakeholders to align project scopes with freelancer capabilities.
  • Ensure timely contract renewals and amendments through effective use of Smart Tracker.
  • Capture and maintain performance feedback to inform future engagement decisions.

3. Administrative & Operational Support

  • Oversee the processing of freelancer invoices.
  • Maintain organized, up-to-date freelancer records— contracts and invoices—in Smart Tracker.

4. Reporting & Insights

  • Prepare regular reports on freelancer utilization, cost tracking, and engagement trends.
  • Provide actionable insights to improve freelancer sourcing and engagement strategies.

Skills, Experience and Qualifications

  • Bachelor's Degree holder in any discipline with 2-3 years of related work experience
  • Well organized with good interpersonal & communication skills
  • Excellent command of written and spoken English and ; proficiency in Arabic will be an advantage
  • Candidate must be based in Dubai
  • Good understanding in general office and personnel administrations
  • Highly proficient in Microsoft Office, including Excel, PPT, Word, Outlook
  • A team player who enjoys working with people, with great energy
