OVERVIEW / BASIC FUNCTION :
Under the supervision of the Assistant Director of Events Sales, this role is responsible for generating the majority of banquet revenue and assisting in the general management of the Catering Department.
RESPONSIBILITIES :
- Comply with the Hotel Code of Conduct at all times.
- Coordinate and monitor all meetings from initial booking through to post-conference evaluation and account settlement.
- Liaise with the Sales Department during initial negotiations to provide profitable and compliant proposals.
- Manage all MICE and catering business, liaising closely with clients and internal departments.
- Prepare and distribute BEOs and group summaries for all events at least 5 working days prior.
- Follow up with clients to review banquet room allocations and guest numbers, communicating with relevant departments.
- Arrange group check-ins with the Front Office Manager.
- Conduct pre- and post-event briefings, communicating feedback to improve operations.
- Review daily Food & Beverage and Conference charges to ensure accuracy.
- Collaborate with the Director of Food & Beverage and Executive Chef on menu development to attract business and ensure profitability.
- Participate in weekly BEO meetings to finalize event details.
- Be proactive in planning around cyclical events.
- Respond to proposals within 24 hours, maintaining high guest service standards.
- Follow up on leads within 48 hours of inquiry.
- Ensure proper handover of client requirements from Sales to Operations.
- Train and coach team members to maintain high service levels.
- Maintain all departmental records, forms, and policies.
- Update and maintain menus and function sheets.
- Adapt to client changes flexibly.
- Meet with conference organizers before and after events to confirm details.
- Respond promptly to client requests to maximize satisfaction.
- Coordinate with external vendors and internal departments for event needs.
- Handle guest complaints and establish excellent guest relations.
- Maintain professional appearance and adhere to safety policies.
- Stay adaptable to industry and company changes.
- Perform other duties as assigned.

QUALIFICATIONS :
- Minimum three years’ experience in a luxury or ultra-luxury property.
- College degree or equivalent experience.
- Attention to detail, organization, and customer service skills.
- Knowledge of international foods, wines, and banquet operations.
- Ability to generate sales and maintain confidentiality.
- Fluent in English; additional languages preferred.
- Physical ability to perform required movements and communicate effectively.
- No specific licenses or certifications required.
