Job Purpose
To support the marketing team in planning, coordinating, and executing campaigns, events, and day-to-day operations, while ensuring smooth collaboration with internal departments and external partners. This role requires on-ground event presence, administrative support, and coordination across various functions.
Key Accountabilities
- Provide on-ground support during marketing activations, internal events, campaigns, and community events, including weekends and public holidays as per the event schedule.
- Coordinate with suppliers, vendors, and activation partners to ensure timely and quality execution of event activities.
- Assist with end-to-end management of purchase requests (PRs), purchase orders (POs), expense tracking, and payment follow-ups.
- Track procurement and assist in maintaining marketing/event budgets and expense reports.
- Prepare internal event reports, attendance logs, feedback forms, and post-event analysis for senior management.
- Collect survey responses (physical or digital) during and after events and maintain a structured database of feedback and performance metrics for all community events.
- Support the event manager with content coordination, presentation development, and campaign preparation related to community events.
- Manage administrative duties such as maintaining event documentation, vendor files, and inventory of event materials.
- Ensure all event logistics and operational requirements are handled efficiently and proactively, including venue setups, permits, staffing, and transportation.
- Communicate effectively with internal stakeholders and external partners in a professional and confident manner.
- Stay organized and follow up diligently on outstanding tasks, deadlines, and supplier deliverables.
- Adapt and remain composed in fast-paced environments, working collaboratively with a positive, team-oriented attitude.
- Assist in developing event timelines, checklists, and supplier briefing documents for each activation.
Education, Experience, Skills and Competencies
Education
- Bachelor’s degree in marketing or business administration
Experience and Skills
- Willingness to work flexible hours, including weekends and public holidays based on event schedules.
- Excellent communication skills – confident, outgoing, and professional.
- Previous experience coordinating with suppliers and managing event operations is highly preferred.
- Familiarity with PR/PO systems and basic procurement tracking.
- Strong organizational skills and attention to detail.
- Ability to multitask, prioritize, and meet tight deadlines.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint); knowledge of design tools is a plus.
