Job description

Responsibilities:

  1. Must have ability to work multiple events with multiple themes & pricing strategies.
  2. Understand the unique needs of different types of events, such as corporate events and social events.
  3. Create and manage all client data through our database.
  4. Work with clients to plan and coordinate details of events.
  5. Coordinate all events focusing on customer needs, logistics and operational capabilities, assessing client needs and requirements, and providing timely and effective solutions while staying on budget.
  6. Ensure successful event execution by our operations team.
  7. Work directly with catering, vendors and event services staff to ensure all event logistics and catering options/menus are presented to the customer accurately and effectively.
  8. Be present at events to coordinate with client, catering staff, facility operations and culinary staff.
  9. Booking of event by phone, mail, walk-in.
  10. Close cooperation with the sales department.
  11. Attend planned events, other events as determined by the Sales Manager.
  12. Maintain and expand the existing database.
  13. Manage relationship with clients throughout the event planning process and beyond.
  14. Attend events in order to build customer relationships, content knowledge and cross-sell future events.
  15. Work with conference manager to help with the coordination and implementation of logistics planning in the lead-up to events.
  16. Maximize revenues to meet and exceed sales goals and budgets through the sale.
  17. Expand the vendors & suppliers database (hotels, press houses, supplies, gifts, etc.).
  18. Minimize the spending invoice & negotiate for the best prices.
  19. Maintain excellent relations with the clients & suppliers for long-term business.
  20. Assist other sales professionals by being the station's expert in new event business generation.

Minimum Requirements:

  1. Computer literacy and familiarity with Salesforce or other systems.
  2. Must have exceptional customer service and organizational skills and a flexible schedule based on the needs of the business, including some nights and weekends.
  3. Prefer hotel related experience.
  4. Driving license is a plus.
  5. Previous event planning, hotel or related service required.
  6. Understanding and aptitude for the Information Technology Industry.
  7. Work experience as Event Sales/Planning Executive in Event management industry.
  8. Strong follow-up skills, the ability to work on multiple projects, and attention to detail.
  9. Demonstrates a high sense of urgency.
  10. Help facilitate inter-department (sales, accounting, etc.) communication and serve as a liaison to client, event venue, promoter and/or 3rd party partners.
