Job Description: Event Assistant

We are looking for a highly organized and proactive Event Assistant to support the Global Event Manager in bringing large-scale international events to life. This role is essential for executing world-class forums, conferences, and corporate gatherings, covering logistics, vendor coordination, budgeting, and documentation.

You will assist in planning and delivering high-profile international events that make a lasting impression. Your work will directly influence the success of experiences attended by leaders, innovators, and partners worldwide.

Remote Flexibility

This is a remote role, with a strong preference for candidates based in the EU due to logistics and time zone considerations, but we are open to exceptional candidates globally.

Key Responsibilities
  1. Event & Logistics Support: Assist in coordinating international events from planning to execution, liaise with venues, vendors, and stakeholders, monitor timelines, and ensure logistics align with event goals.
  2. Finance & Budget Management: Track expenses, process invoices, manage vendor payments, and support budget reconciliation and reporting.
  3. Administrative Support: Manage calendars, schedule meetings, coordinate travel, and organize internal and external meetings.
  4. Documentation & Reporting: Prepare reports, decks, maintain contracts, itineraries, and event files.
  5. Internal & External Communication: Act as a liaison between the Global Event Manager, internal teams, and vendors.
Job Requirements
  • 3+ years of experience in executive assistance, corporate event support, or related finance roles.
  • Willingness and ability to travel as needed.
  • Strong organizational skills and multitasking ability.
  • Excellent communication and interpersonal skills, especially under pressure.
  • Solid understanding of budgeting, invoicing, and expenses.
  • Proficiency in Google Suite, Microsoft Office, and tech-savviness.
  • Fluency in English and Spanish (spoken and written).
  • Preferred: Based in EU.
