Designation :- Tender and Contracts Specialist (Oil and Gas)

Job Purpose :- To be an active member of the sales & contracts team, responsible for preparation and submission of tenders, bids, and proposals, ensuring accuracy, compliance, and timely delivery as well as negotiation of the contracts.in line with PPC's standards. The role supports business development by coordinating cross-functional inputs, managing customer enquiries, maintaining contract and sales documentation, and identifying new opportunities to enhance revenue and client satisfaction.

Key Responsibilities/Duties :-

  • Responsible for preparation and submission of tenders, proposals, bids and quotations in accordance with Petrochem’s and customers’ standards and coordinate with internal teams to gather information, writing proposals ensuring compliance with relevant regulations and standards.
  • Responsible for reviewing tender/bid documents and distributing same and requirements to concerned departments and staffs. This will include maintaining contract files, updating project schedules, and tracking deliverables.
  • Responsible for preparing and submitting pre-qualification documents for Tenders, EOIs and RFQs.
  • Responsible for processing customer sales enquiries and orders.
  • Review orders to ensure compliance with submitted quotation.
  • Gain understanding of customer needs and respond to their requests, enquiries and complaints in a professional and courteous manner.
  • Maintain quotations and sales records and make it readily available for reference.
  • Prepare pricing and margin Sheets for General Manager’s signature
  • Make customer contacts to follow up on tender clarifications/qualifications and request debriefing feedback.
  • Look after customer survey and feedback.
  • Provide Regular reports on the status of tenders and contracts.
  • Identify opportunities, research and identify potential business opportunities, including tenders, contracts, and requests for proposals (RFPs) that match the organization's capabilities.
  • Negotiate and manage contracts with clients, suppliers, and subcontractors.
  • Review and revise contract terms and ensure compliance with contractual obligations and manage changes or disputes.
  • Ensure compliance with relevant laws, regulations, and policies, including those related to procurement, contracting, and data protection.
  • Provide regular reports on the status of tenders, contracts, and projects, as well as conduct analysis to identify areas for improvement and cost-saving opportunities.

Ability & Skills :-

  • High level of computer literacy – software knowledge (MS Office, Excel, Word)
  • Can clearly articulate position to others, individually or to groups through excellent presentations and/or public speaking skills
  • Excellent reading and language comprehension
  • Ability to work in a team at all levels of an organization
  • Fluency in English language. Some Arabic will be a plus
  • Organizational skills: The coordinator should have strong organizational skills, including the ability to manage multiple tasks and deadlines simultaneously.
  • Attention to detail: The coordinator should have a keen eye for detail, ensuring that proposals and contracts are accurate and comply with all relevant regulations and standards.
  • Technical skills: The coordinator should be proficient in relevant software applications, such as Microsoft Office and project management tools.

Experience :-

  • Relevant experience: we require candidates to have prior experience in a similar role or industry. Experience in procurement, contract management, or project management is often desirable.
  • Strong knowledge of Bidding and Tendering Process
  • Oil and Gas Upstream Services Experience is preferable.
  • Excellent communication skills, written and verbal
  • Knowledge of procurement and contracting processes: Candidates should have a good understanding of procurement and contracting processes, including drafting, and negotiating contracts, tendering, and bidding.

Academic Qualifications :-

  • Bachelor's degree in a relevant field such as business, marketing, or engineering
