Executive Assistant

We are seeking a highly capable and driven Executive Assistant to work closely with the CEO and Managing Director (MD). The role involves driving strategic execution, cross-departmental coordination, and overseeing business operations. The ideal candidate should have project management experience, a good understanding of investment and legal matters, and the ability to manage complex, high-impact tasks in a fast-paced environment. Acting as a strategic partner, you will ensure alignment across business units, meet deadlines, and prioritize effectively.
KEY ACCOUNTABILITIES:
- Support cross-functional teams, fostering accountability, collaboration, and high performance.
- Assist the CEO and MD in executing strategic priorities and decisions.
- Lead and manage projects across departments, ensuring timely delivery.
- Monitor KPIs, prepare reports and dashboards, and highlight issues for leadership attention.
- Coordinate with internal and external stakeholders for smooth communication.
- Review contracts, agreements, and regulatory documents with legal teams or advisors.
- Maintain timelines, reports, and documentation for ongoing initiatives.
- Collaborate with investment, finance, and legal teams on high-value cases and due diligence.
- Identify operational bottlenecks, suggest improvements, and help implement workflows.
- Handle urgent matters confidentially and with effective prioritization.
- Manage the CEO’s calendar, schedule meetings, and coordinate logistics.
- Prepare briefing notes, presentations, reports, and minutes for leadership meetings.
- Act as a liaison between the CEO and stakeholders, ensuring timely communication.
- Handle sensitive information professionally and discreetly.
- Support travel arrangements, including visas, passports, itineraries, and accommodations.
WORKING RELATIONSHIPS:
- Report directly to the CEO, with dotted-line collaboration with the MD.
- Work closely with senior leadership and business managers.
- Interface with Legal, Finance, Compliance, Operations, and Investments departments.
- Maintain contact with legal firms, vendors, consultants, and partners.
- Ensure clear communication to keep projects and strategies on track.
QUALIFICATIONS, EXPERIENCE & SKILLS:
- Master’s degree in Business Administration, Finance, Law, or related field (mandatory).
- Legal certification or law degree is a plus.
- PMP or relevant Project Management certification preferred.
- Fluency in English is essential; Italian proficiency is highly preferred.
