Role Summary:

The Logistics Operations Specialist manages and optimizes the operational aspects of business travel and fleet vehicle utilization across the IMI Group of Companies. This includes developing and administering travel policies, guidelines, and budgets tailored to various business units. The specialist will cultivate and manage relationships with travel agencies to ensure seamless travel arrangements, efficiency, and cost-effectiveness.

The role also involves overseeing fleet vehicle coordination and utilization, ensuring optimal resource allocation and operational efficiency. Additionally, the specialist supervises the visa services team to guarantee timely and accurate processing of visas and related documentation, supporting organizational objectives. This position is crucial in ensuring smooth logistics operations aligned with company goals and compliance standards.

Key Responsibilities:

- Business Travel

  • Develop, implement, and ensure compliance with the Corporate Travel Policy and SOPs, while identifying opportunities for improvement to enhance efficiency and reduce costs.
  • Build and maintain strategic partnerships with travel vendors, including airlines, hotels, and service providers, to secure favorable rates and services.
  • Oversee all aspects of business travel, including arrangements, documentation, payments, itinerary planning, visa procurement, and compliance with medical and legal requirements.
  • Research and evaluate travel and accommodation options to select the best-value services that meet organizational standards.
  • Prepare and manage travel budgets, analyze expenses, and generate reports to maintain financial alignment and identify cost-saving opportunities.

- Fleet Transportation

  • Develop, implement, and improve transportation workflows and SOPs to ensure operational efficiency.
  • Establish and maintain relationships with transportation vendors, including rental companies and logistics providers, to secure reliable and cost-effective services.
  • Oversee transportation operations, including logistics, documentation, payments, and compliance with safety and legal standards.
  • Manage transportation budgets, analyze expenditures, and implement cost-saving measures.
  • Plan and optimize delivery routes and schedules for multi-drop shipments, ensuring timely and accurate deliveries with detailed record-keeping.
  • Ensure all fleet vehicles, whether owned or outsourced, are properly maintained, inspected, and compliant with safety and operational standards.

- Driver Management

  • Supervise and manage company drivers, ensuring adherence to policies, safety protocols, and procedures.
  • Develop and enforce driving policies, including safety, maintenance, and route planning.
  • Monitor driver performance, focusing on punctuality, safety, and efficiency.
  • Provide training and support to ensure drivers possess necessary skills and certifications.
  • Schedule and allocate driver assignments to ensure timely service delivery and operational alignment.
  • Evaluate driver performance, provide feedback, and implement improvement plans.
  • Oversee vehicle maintenance and inspections to ensure safety and compliance, minimizing risks and downtime.

Job Requirements:

  • Bachelor's Degree in Business Administration, Management, or related field.
  • 7+ years of experience in an administrative or operational role, demonstrating organizational support and operational excellence.
  • Proficiency in MS Office applications; advanced PowerPoint skills are a plus.
  • Excellent communication skills, both verbal and written, in English and Arabic.
  • Ability to prioritize tasks and manage deadlines in a dynamic environment, demonstrating flexibility.
