Qualifications

Job description

As the HR Administrator, your primary focus is to support the HR Operations team with a primary focus on visa processing, medical administration and monthly payroll.

In this role, you will:

Visa Management

  • Primary Administrator/Point of Contact for Freezone visa applications and renewals;
  • Coordinate and manage the process of the visa applications for local and international hires;
  • Support the relocation process for international hires by providing fully comprehensive visa-related support and guidance;
  • Monitor visa expiration dates and initiate renewals in a timely manner;.
  • Coordinate with SHR advisors and assist in processing visa cancellation documentation as per UAE labour law;
  • Liaise with government authorities and external bodies as required;
  • Stay updated on changes in visa regulations to ensure ongoing compliance;
  • Provide support to Company PRO with other mainland visa activities

Group Medical Insurance

  • Primary Administrator/Point of Contact for the Group Medical Insurance scheme;
  • Manage enrolments and deletions of employees and employee dependents in a timely manner;
  • Serve as the main point of contact for employee medical insurance enquiries and issues, ensuring they are dealt with promptly;
  • Request letters from the insurance broker on the Employee's behalf;
  • Collaborate closely with the insurance broker to obtain pre-approvals and streamline the processing of claims;
  • Verify medical insurance invoices and coordinate payment with the Finance department

Payroll

  • Provide ongoing support to the UAE Payroll Specialist and act as Payroll Specialist in their absence;
  • Maintain accurate payroll records and process earnings and deductions efficiently;
  • Address payroll-related inquiries and discrepancies promptly and professionally;
  • Ensure timely and accurate payment to employees

Other Responsibilities

  • Adhere to a 24/48-hour response time for various documentation requests, including, but not limited to, salary certificates, NOCs, and salary transfer letters;
  • Generate Employment Contracts for signature from relevant parties;
  • Provide monthly reports to the Finance department, including closing expenses & reimbursements;
  • Maintain accurate records in BambooHR and file and archive documents systematically, ensuring proper organisation and accessibility;
  • Adhoc reporting requests as and when required.


Requirements

  • Graduate Degree or diploma in HR (Optional)
  • 3 - 5 years of experience in HR function
  • Administrative experience in medium to large companies
  • Knowledge of HR systems and processes
  • Proficient in GSuite
  • BambooHR & Sage experience preferable
  • Exceptional timekeeping and planning skills
  • Highly proficient in spoken and written English
  • Strong communication skills to work with all levels of seniority internally & externally
  • Excellent coordination and organisation skills
  • Ability to prioritise work requirements
  • Highly motivated, professional, creative, proactive, and able to work independently and cooperatively in a diverse group
  • Hands-on attitude and the ability to thrive in a fast-paced environment
