Job Title: Office Manager
We are seeking a highly organized and self-motivated Office Manager to oversee the daily operations of our office. This role is ideal for someone who thrives in a dynamic environment, takes initiative, and can independently manage a wide range of administrative and operational tasks to ensure the smooth functioning of the office.
Responsibilities:
- Manage daily office operations, maintaining a clean, organized, and well-stocked workspace.
- Serve as the primary contact for all office-related needs, including facilities, equipment, and supplies.
- Coordinate with vendors, service providers, and building management for maintenance, deliveries, and office services.
- Manage the reception area, including handling phone calls and emails.
- Handle incoming mail, packages, deliveries, and manage outgoing shipments.
- Manage responsibilities with Dubai Multi Commodities Centre (DMCC), including government transactions, visa processes, employment contracts, license renewals, portal updates, and maintaining company records.
- Assist with bookkeeping procedures for office expenses and prepare weekly and monthly reports for management.
- Ensure all office contracts, insurances, and legal documents are current and properly filed.
- Organize internal events, meetings, and team activities.
- Support onboarding of new employees, including preparing workstations, access badges, and welcome materials.
- Maintain office policies and procedures, ensuring organizational compliance.
- Provide administrative support to leadership and departments as needed.
- Coordinate logistics for office supplies, IT equipment, courier services, and facility issues.
Requirements:
- Bachelor's degree in Business Administration, Human Resources, or a related field.
- Proven experience in administrative roles, with exposure to HR tasks being a plus.
- At least 5 years of experience with visa processing procedures and knowledge of labor laws and regulations, especially related to DMCC.
- Excellent written and verbal communication skills.
- Strong organizational and time management skills.
- Proficiency in MS Office and familiarity with office management procedures.
- Ability to work independently, manage multiple tasks, and meet deadlines.
- Flexibility to adapt to changing priorities and handle confidential information discreetly.
- Problem-solving mindset with a proactive attitude.
