Job Title: Office Manager

We are seeking a highly organized and self-motivated Office Manager to oversee the daily operations of our office. This role is ideal for someone who thrives in a dynamic environment, takes initiative, and can independently manage a wide range of administrative and operational tasks to ensure the smooth functioning of the office.

Responsibilities:
  1. Manage daily office operations, maintaining a clean, organized, and well-stocked workspace.
  2. Serve as the primary contact for all office-related needs, including facilities, equipment, and supplies.
  3. Coordinate with vendors, service providers, and building management for maintenance, deliveries, and office services.
  4. Manage the reception area, including handling phone calls and emails.
  5. Handle incoming mail, packages, deliveries, and manage outgoing shipments.
  6. Manage responsibilities with Dubai Multi Commodities Centre (DMCC), including government transactions, visa processes, employment contracts, license renewals, portal updates, and maintaining company records.
  7. Assist with bookkeeping procedures for office expenses and prepare weekly and monthly reports for management.
  8. Ensure all office contracts, insurances, and legal documents are current and properly filed.
  9. Organize internal events, meetings, and team activities.
  10. Support onboarding of new employees, including preparing workstations, access badges, and welcome materials.
  11. Maintain office policies and procedures, ensuring organizational compliance.
  12. Provide administrative support to leadership and departments as needed.
  13. Coordinate logistics for office supplies, IT equipment, courier services, and facility issues.
Requirements:
  • Bachelor's degree in Business Administration, Human Resources, or a related field.
  • Proven experience in administrative roles, with exposure to HR tasks being a plus.
  • At least 5 years of experience with visa processing procedures and knowledge of labor laws and regulations, especially related to DMCC.
  • Excellent written and verbal communication skills.
  • Strong organizational and time management skills.
  • Proficiency in MS Office and familiarity with office management procedures.
  • Ability to work independently, manage multiple tasks, and meet deadlines.
  • Flexibility to adapt to changing priorities and handle confidential information discreetly.
  • Problem-solving mindset with a proactive attitude.
