Job Summary:
We are seeking a proactive, detail-oriented, and highly organized Operations Manager to oversee and streamline our real estate business operations. This role will serve as the backbone of our day-to-day functions, ensuring smooth internal processes, operational efficiency, and full support to the sales, marketing, HR, and finance teams. The Operations Manager will also play a vital role in client handling, team coordination, documentation, CRM management, and regulatory compliance.
Key Responsibilities:
Operational Oversight:
- Supervise and optimize daily operations across departments including Sales, Marketing, HR, Accounts, and Listings.
- Oversee office maintenance, cleanliness, and the procurement of office supplies.
- Ensure company policies and operational procedures are followed by all employees.
- Manage communication developers, and partner agencies.
- Monitor on Register clients on developer portals.
- Provide client support during roadshows, events, and open houses.
Managerial Responsibilities (Legal & Documentation Oversight):
- Draft, review, and manage a variety of legal and operational documents, including but not limited to:
- Agent-to-Agent Agreements
- Referral Agreements
- Memorandums of Understanding (MOUs) and Addendums
- Expressions of Interest (EOIs) and Know Your Customer (KYC) forms
- Ensure accurate and organized maintenance of both digital and physical records of all contracts and legal documentation to support compliance and operational efficiency.
Team & Resource Coordination:
- Monitors the coordination of driver schedules and track overtime.
- Support brokerage course enrolments and licensing processes.
- Keep the sales team informed about upcoming property events and project launches.
- Monitor the preparation client documentation and materials for new project launches.
Communication & Support:
- Oversee and ensure timely handling of all inbound and outbound calls, as well as prompt responses to emails and client inquiries.
- Serve as the primary liaison between internal departments and external stakeholders to facilitate effective communication and collaboration.
- Coordinate and support logistics related to client registrations and agent activities for various events.
- Implement directives from the CEO and manage special projects, ensuring alignment with organizational goals and timely execution.
Qualifications & Requirements:
- Bachelor's degree in Business Administration or a related field.
- 4+ years of experience in operations management, preferably in the real estate sector.
- Strong organizational and multitasking skills.
- Experience with CRM systems (BETTRIX or similar).
- Excellent communication (verbal and written) and interpersonal skills.
- Knowledge of UAE real estate portals and developer procedures is a plus.
- High level of discretion, integrity, and professionalism.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint).
