Administrative Supervisor

Location: Dubai, United Arab Emirates

The Administrative Supervisor acts as an office manager responsible for planning, coordinating, and implementing support functions within an assigned department. This role contributes to department management by developing policies and procedures, coordinating with internal and external parties to enhance service delivery, and providing guidance on customer communications. The position involves developing, monitoring, and administering budgets.

This role is considered a working supervisor, offering complex, responsible, and confidential secretarial and administrative support to the department director. Incumbents relieve directors and managers of detailed administrative tasks, functioning with minimal oversight and handling sensitive information with confidentiality.

Key Duties and Responsibilities
  1. Serve as an office manager for the department, planning, administering, and coordinating administrative support functions.
  2. Direct and review department activities, assign work, evaluate work quality, and implement workflow improvements.
  3. Participate in staff recruitment, training, evaluation, and discipline processes.
  4. Research, prepare, revise, and implement administrative policies, procedures, and forms.
  5. Act as primary liaison with other city departments, the public, and outside agencies, resolving issues and explaining program policies.
  6. Collect, analyze, and report data, providing recommendations for improvements.
  7. Support department management by handling confidential duties, including investigation and resolution of operational issues.
  8. Prepare correspondence, reports, and statistical charts, and manage calendar and scheduling for staff.
  9. Coordinate travel arrangements and expense reports.
  10. Assist with budget development, monitoring expenditures, and processing invoices and purchase orders.
  11. Perform accounting duties, including accounts payable/receivable, and support payroll processing.
  12. Manage complex filing systems, including sensitive records, and ensure compliance with retention policies.
  13. Support committee and commission activities, including preparing agendas and minutes.
  14. Participate in special projects and perform other related duties as assigned.
