Job description

Alokozay Group of Companies is seeking a detail-oriented and proactive Admin Executive with proven experience in high-level administrative responsibilities, including VIP travel and hospitality bookings. The ideal candidate will support administrative tasks, ensuring smooth internal processes and exceptional service for senior executives and guests.

Duties:
  1. Provide administrative support to senior executives and management.
  2. Coordinate meetings, events, and internal logistics.
  3. Manage complex domestic and international travel arrangements for VIP guests and senior executives, including flights, hotels, ground transportation, and visas.
  4. Liaise with premium travel agencies, airlines, hotels, and concierge services.
  5. Ensure travel itineraries are accurate, seamless, and aligned with executive preferences.
  6. Handle last-minute changes and special requests with discretion and professionalism.
  7. Prepare expense reports, travel reimbursements, and follow up on approvals.
  8. Manage daily office operations including scheduling, correspondence, filing, and documentation.
  9. Screen and direct phone calls and emails; respond to inquiries professionally.
  10. Assist in recruitment activities such as posting job ads, screening resumes, and scheduling interviews.
  11. Maintain and update employee records and HR databases.
Desired Candidate Profile
  1. Bachelor’s degree in business administration or a related field.
  2. At least 3-5 years of administrative experience, with a minimum of 2 years handling VIP travel or executive bookings; UAE work experience is mandatory.
  3. Strong organizational and multitasking skills.
  4. Excellent communication and interpersonal abilities.
  5. Discretion and professionalism in handling confidential information.
  6. Proficiency in Microsoft Office Suite and HR software (e.g., HRIS, SAP, Oracle).
  7. Experience in hospitality or executive services is a plus.
