This is an exciting opportunity for an experienced Mobilization Coordinator responsible for preparing all related documents, following up with employees on documentation status for Residency Renewals, New Joiner Medical, Visa cancellations, assisting in the registration of national employees into the pension scheme (if applicable), and supporting all assigned administrative tasks within the function.

The key objectives for this role include:

  • Coordinating deployment of new employees to project sites
  • Managing transport, job allocation, and scheduling for personnel
  • Ensuring site access paperwork and compliance requirements are met
  • Acting as liaison between clients, contractors, and project teams
  • Updating rosters and preparing job packs for employees
  • Organizing mobilization events and ensuring resource availability

Expected:

  • Minimum of 5 years experience in a similar role
  • Strong knowledge of visa processes and work permit documentation
  • Extensive experience with Iraq and UAE visa processes
  • Proficiency in English
  • Experience coordinating with departments and new joiners
  • Proficiency in Microsoft Office
  • Experience updating databases and trackers
  • Understanding of medical insurance enrollment and requirements
  • Good knowledge of PRO daily work and coordination

Key Accountabilities and Responsibilities:

  • Preparing and liaising for UAE visa applications
  • Booking medical requirements and inductions for employees
  • Arranging flights, accommodation, and transportation for mobilization
  • Maintaining mobilization trackers and ensuring data accuracy
  • Managing administrative processes, including issuing instructions and record-keeping
  • Ensuring employees have necessary visas, medicals, and inductions prior to mobilization
  • Acting as logistics focal point for personnel movement
  • Managing IT onboarding/offboarding processes
  • Sending welcome/mobilization emails and verifying documentation
  • Monitoring expiring tickets, visas, and medicals to ensure validity
  • Meeting audit requirements for employee documentation
  • Supporting HR with inductions, job profiles, and training requirements
