An established industry player is seeking a detail-oriented Document Controller to manage and organize critical documentation. This role involves ensuring proper classification, filing, and retrieval of documents, both physical and digital, while maintaining confidentiality and accuracy. • Ensure proper document classification, sorting, filing, etc.
• File documents in physical and digital records & retrieve files as needed by employees and clients.
• Manage the flow of documents within the organization & conduct regular reviews and document audits.
• Prepare LPOs as advised and send to suppliers/subcontractors.
• Prepare submittals, e.g., shop drawings, method statements, WIR, MIR, material submittals, document submittals, NOCs, etc.
• Maintain logs of all incoming and outgoing documents, letters, LPOs, and project-related document submittals received from the site.
• Draft external correspondence to clients, consultants, subcontractors, and internal correspondence with the help and instruction of site project managers.
• Maintain confidentiality around sensitive information and terms of agreement.
• Ensure all internal memos and correspondences are received by the MD and management on time.
• Ensure controlled copies of approved documents are given to the appropriate employees or affiliated organizations.
• Maintain the distribution of payment applications, subcontractor payment applications, tax invoices, etc., to clients or related authorities.
• Preferably from the construction, fit-out, engineering, or consultancy sectors.
• Strong command of document control systems and software (e.g., Aconex, Procore, EDMS).
• Proficiency in MS Office and PDF editors.
• Excellent organizational and filing skills.
• Attention to detail and accuracy.
• Strong communication skills (written and verbal).
• Knowledge of project documentation standards (especially in UAE).
• Bachelor's Degree or Diploma preferred.
