Job Purpose

Key Responsibilities
  1. Provide second-tier front-end administration and clerical support to the Clinic Administration Officer in designated areas such as Aviation Medicine Reception and Telephone Room (Medical and Dental).
  2. Monitor and review existing processes, suggest improvements, and assist in implementing new procedures.
  3. Maintain and update documentation related to Aviation Medical Licensing, coordinating with doctors to establish proper recall and filing systems.
  4. Oversee assigned areas, report workload metrics, escalate issues, and recommend process enhancements.
  5. Manage specialised e-workflow systems (MEDIFS), ensuring effective communication until issues are resolved.
  6. Ensure smooth operation of the telephone room, monitor call metrics, resolve issues promptly, and escalate complex cases.
  7. Assist senior team members with information collection for training and development.
  8. Reallocate resources as needed to support other administrative functions.
  9. Ensure high-quality service at reception, proper processing of documents and appointments, and quick resolution of front-line issues.
  10. Maintain cleanliness and contact maintenance for public areas of Medical Services.
  11. Record bookings for conference rooms, library, and electronic equipment to ensure resource availability.
  12. Generate team rosters and ensure adequate coverage during clinic hours.
Qualifications & Experience
  • Minimum 3 years of administrative experience.
  • 10 years of schooling or equivalent.
  • Proficiency in spoken and written English.
  • Computer literacy (Word, Excel, PowerPoint).
  • Experience operating a business telephone system.
  • Experience in a Medical or Dental environment is advantageous.
  • Customer interaction experience is advantageous.
