As Document Controller, you will play a pivotal role in ensuring the efficient management and control of all project documentation. Operating within a dynamic and fast-paced environment, your responsibilities will encompass various aspects of document control to uphold the integrity and accuracy of project records.
Responsibilities
- Maintain an efficient filing system to support information management.
- Handle the sending and receiving of documents from external organizations, edit paperwork for contract agreements, and ensure compliance with official policies and legal regulations.
- Coordinate with draughtsmen and the technical department to fulfill their requirements.
- Control all documents and drawings onsite.
- Issue transmittals for various documents (drawings, technical submittals, requests for information, method statements, contract drawings) for distribution.
- Prepare transmittals of shop drawings for client submission.
- Organize all documents (material submittals, method statements, calculation notes, RFIs, and drawings) in a proper filing system.
- Create graphical presentations of technical data.
- Perform daily and weekly backups of documents.
- Receive the submittal reply documents from the client and send them to the Project Manager.
- Provide daily reports to the Technical Manager.
- Maintain logs of submittal and return dates for all documents.
- Keep all logs updated with the Contractual Submittal Documents (CSD) and distribute the CSD log weekly to concerned departments.
- Generate monthly reports for technical personnel, site management, and consultants.
Skills and Competencies
- Strong understanding of document management principles, practices, and standards.
- Excellent organizational skills and attention to detail to manage large volumes of documentation accurately and efficiently.
- Effective communication skills and the ability to interact professionally with diverse stakeholders.
- Familiarity with construction industry standards, regulations, and contractual requirements.
- Fluency in English; knowledge of Arabic is desirable.
Qualifications
- Bachelor's degree in a relevant field (Business Administration, Engineering, Construction Management, Information Management) is preferred.
- Certification or training in document control or records management is advantageous.
- Proven experience as a Document Controller in large-scale construction projects, preferably within the Middle East region.
- Knowledge and experience in Aconex Software is highly preferred.
