Job description

Job Responsibilities
  1. Support the sales function and coordinate sales-related activities within the company to achieve the sales plan.
  2. Contribute to customer satisfaction by ensuring the accuracy and timely processing of orders.
  3. Manage sales-related activities for assigned customers.
  4. Support and coordinate with the Head Office sales team and marketing.
  5. Ensure the timely delivery of goods to customers.
  6. Coordinate with customers on vessel schedules and confirm draft documents.
  7. Send information and provide documents to customers once materials leave the plant.
  8. Update customers on shipment delays and coordinate with the team accordingly.
  9. Facilitate resolution of sales-related issues with customers and the team.
  10. Respond to sales queries via phone, email, and written communication, and inform internal teams, the head office sales team, and customers.
  11. Coordinate with marketing and QC teams on sample requirements.
  12. Arrange sample deliveries to customers (local via driver, export via courier).
  13. Arrange and verify documents with approval from the accounts department based on payment and courier requirements.
  14. Monitor daily dispatch records and share order updates with management.
  15. Verify SGS documents and forward for client and supervisor approval.
  16. Follow up on payments from advance payment customers.
  17. Gather pending deliveries and communicate to relevant departments.
  18. Coordinate with the team to proceed with shipments upon customer approval.
  19. Internally coordinate with drivers for timely delivery of samples and documents.
  20. In the absence of the Sales Assistant, undertake responsibilities for preparing export documents and coordinating sample deliveries via courier.
Additional Responsibilities
  1. Proficient in Microsoft Office and other record-keeping software.
  2. Prepare sample reports as requested by the marketing team.
  3. Provide sales-related reports upon request.
  4. Forward daily dispatch orders to management.
  5. Provide pending order details as requested by customers.
Internal Interfaces
  • Executive Director, Marketing Manager, Production Manager, Assistant Manager, Senior QC/QA Officer, Senior Accountant, Logistics team.
