Job Description
We are seeking a dedicated and experienced Registrar who can join us immediately. The candidate will manage student enrolment numbers to meet or exceed the school-specific enrolment budget consistently throughout the academic year and ensure all students are registered in accordance with the GEMS Enrolment Process and the governing body (such as ADEK).
Responsibilities:
- Meet with prospective parents to explain admission procedures, curriculum, fee structure, and regulations to facilitate enrolment. Guide prospective parents to alternative GEMS schools if they cannot secure a place at this school. Maintain accurate records of available places and an up-to-date waiting list. Aim to have 50 students per year group, fully assessed and waiting to be placed. Update and manage the student information in the OASIS database daily.
- Ensure completion of annual enrolment processes such as re-enrolment, Parent School Contract, and student registration within the set timetable.
- Prepare reports for the School Principal/CEO and the corporate office on current enrolments, waiting lists, vacant seats, and conversion data. Meet regularly with senior leadership to discuss these reports and assist with student number projections.
- Collaborate with the Principal/CEO, SLT, and other staff to develop and implement enrolment strategies to achieve budget targets.
- Maintain and create files for all applicants, students, and alumni, and complete exit documentation for withdrawing students.
- Be fully versed in all rules and regulations of the Ministry of Education and relevant governing bodies (SEZ, KHDA, ADEK) to ensure compliance.
- Follow GEMS policies, procedures, and codes of conduct, addressing audit items promptly.
- Perform other duties as assigned by managers/supervisors.
Qualifications:
- A college degree (BA or BSc) from a reputed university is desirable.
- At least two years in a customer service-focused role.
- Proven success in meeting sales targets; ability to influence and motivate the team to deliver results.
- Experience in relationship management, building and influencing professional relationships with peers and the community.
- Effective written and spoken communication skills.
- Interpersonal skills to operate effectively in a diverse environment.
- Immediate joiners will be given priority.
Skills:
- Strong time management skills with the ability to multitask and handle peak demands.
- Proficiency in Microsoft Office and technology to present data effectively.
