A fast-paced advisory firm operating within the life sciences sector is looking to appoint a highly capable and experienced Office Administrator / Executive Assistant to support senior management and take ownership of all core administrative operations. This is a key position for a detail-oriented, resourceful, and dependable individual who demonstrates both strategic thinking and hands-on efficiency in equal measure.

Language Proficiency: Fluency in both English and Hindi to a native or near-native standard is required. This ensures smooth communication with internal teams and external stakeholders, including regional service providers and government authorities.

Understanding of DMCC Operations: A strong understanding of DMCC operations is critical, including company licensing, visa processing, and coordination with regulatory bodies. Previous hands-on experience managing documentation for free zone companies is a must, along with familiarity in handling offshore corporate structures, compliance requirements, and submission of due diligence documents.

Financial and Accounting Responsibilities: The role also involves financial and accounting responsibilities, such as recording transactions, managing supplier payments, liaising with banks, preparing management reports, and overseeing compliance with UAE tax regulations. Experience using the UAE’s Corporate Tax Portal and filing returns through the FTA system is highly desirable.

Day-to-Day Operations: In addition to administrative and financial duties, the Office Administrator / EA will be responsible for managing the day-to-day operation of the office environment, overseeing recruitment processes, sourcing professional service providers, and handling various personal administrative matters for the employer with discretion and reliability.

Minimum Requirements: The successful candidate will have a minimum of five years of relevant administrative and executive support experience, with at least two years spent working in the UAE, ideally within Dubai. Due to the nature of the role, this position is most suited to candidates who can comfortably navigate both professional and logistical responsibilities that require flexibility, responsiveness, and travel across the city as needed. Applicants must have a valid UAE driving license and their own vehicle and should either reside in Dubai or be willing to relocate within city limits.

Technical Competence: A high level of technical competence is essential, including proficiency across standard business software, operating systems, and digital communication platforms. This role is best suited to someone with a mature, professional presence and who brings a composed, solutions-oriented approach to represent the business confidently and effectively.
