We are looking for a talented Executive Assistant to join our dynamic team and bring operations to the next level through efficient and proactive support.

We are looking for a highly efficient, professional, and proactive Executive Assistant to support in all administrative and operational matters relating to the CEO. This role requires exceptional organizational skills, attention to detail, and the ability to manage multiple priorities in a fast-paced environment.

Key Responsibilities

  • Executive Administrative Support: Provide comprehensive assistance to the CEO by managing daily operations, handling correspondence, and ensuring all administrative tasks are completed efficiently.
  • Calendar & Schedule Management: Maintain and organize the CEO's calendar, ensuring seamless scheduling of meetings, appointments, and time-blocking for priorities.
  • Travel & Logistics Coordination: Plan and manage all travel-related arrangements for the CEO, including flights, visa processing, accommodations, and detailed itineraries.
  • Meeting & Event Coordination: Organize and support internal and external meetings, including agenda preparation, minute-taking, and tracking follow-up actions.
  • Communication & Stakeholder Liaison: Serve as the key point of contact between the CEO and internal/external parties, ensuring timely and professional communication.
  • Document Preparation & Review: Draft, edit, and review various business documents including reports, presentations, and formal correspondence.
  • Research & Briefing Support: Conduct research, gather data, and prepare concise briefs to assist the CEO in strategic planning and decision-making.
  • Office & Workflow Management: Oversee the day-to-day needs of the Director's office, ensuring an organized and well-functioning environment.
  • Internal Coordination: Collaborate with internal departments to align with the CEO's directives, monitor deadlines, and ensure timely execution.
  • Confidential Information Handling: Manage sensitive business and personal information with utmost discretion and integrity, maintaining secure filing and communication systems.
  • Guest & Visitor Management: Ensure a professional and welcoming experience for all guests and business visitors interfacing with the CEO's office.Manage other relevant responsibilities as directed by the CEO.

Qualifications & Skills

  • 3 years as an Executive Assistant, preferably supporting C-level executives.
  • Background in real estate, property development, or a related industry is a strong advantage.
  • Excellent organizational, time management, and multitasking skills.
  • Strong communication skills (verbal and written) in English - Spanish is a plus.
  • Tech-savvy with proficiency in Microsoft Office Suite, Google Workspace, and scheduling tools.
  • Professional demeanor, with high levels of discretion, integrity, and emotional intelligence.
