Job Summary:

We are seeking a proactive and detail-oriented Executive Assistant (EA) to support the CEO in a dynamic, fast-paced environment. The ideal candidate will possess strong administrative capabilities, analytical thinking, and excellent organizational skills to streamline operations, follow through on execution, and ensure seamless coordination across departments.

Key Responsibilities:

1. Executive & Administrative Support

• Manage the CEO’s schedule, calendar, travel bookings, and appointments.

• Organize meetings, prepare agendas, minutes, and follow-up action items.

• Act as a liaison between the CEO and internal/external stakeholders.

• Handle confidential correspondence and ensure timely communications.

2. Task & Project Management

• Maintain a centralized tracker for all key CEO-assigned tasks.

• Monitor task progress with department heads and follow up for closures.

• Assist in the planning and coordination of projects, ensuring timelines are met.

• Prepare periodic status reports and dashboards.

3. MIS Reporting & Analytics

• Design and update MIS reports reflecting project status, team deliverables, and KPIs.

• Analyze data for business operations and provide insight-driven updates to the CEO.

• Support in strategic decision-making with research and brief analysis.

4. Communication & Coordination

• Draft emails, letters, and internal documents on behalf of the CEO.

• Coordinate with teams for inputs, approvals, and updates across verticals.

• Ensure smooth execution of CEO directives and company-wide communication.

5. Operational Efficiency

• Review and evaluate internal processes for productivity improvements.

• Suggest tools or methods to enhance workflow and task tracking.

• Maintain digital organization and version control of files and documents.

Qualifications & Skills:

• Bachelor’s degree in Business Administration, Management, or a related field (MBA preferred).

• 4–6 years of experience in an Executive Assistant, Business Analyst, or Operations role.

• Strong command of Microsoft Office Suite (Excel, Word, PowerPoint); proficiency in task/project management tools (e.g., Trello, Notion, Asana).

• Excellent written and verbal communication skills.

• High level of discretion, integrity, and confidentiality.

• Analytical mindset with attention to detail.

• Proactive, solution-oriented, and capable of handling multiple priorities.

Preferred:

• Prior experience working with senior management or CXOs.

• Familiarity with reporting dashboards and business process improvement.

• Ability to travel and work flexible hours when required.
