Job description

Job Purpose:
We are recruiting a Workplace Services Manager to join the team located in Dubai. The successful candidate will serve as a professional, engaging, and interactive first point of contact for building occupants, addressing operational queries/issues across multiple sites in the UAE. The role also involves acting as an interface between clients and vendors, ensuring a five-star standard is maintained, with proactive issue identification and resolution before clients become aware. The candidate will receive training and support to develop their career in Facilities Management.

Key Tasks/Responsibilities:

  • Develop and maintain client relationships.
  • Manage multiple client sites across UAE.
  • Support and foster a collaborative environment among vendors and building floors.
  • Act as the liaison between vendor operatives providing on-floor services, ensuring seamless service delivery.
  • Maintain company and client standards while delivering high personal client engagement.
  • Monitor and audit designated client areas, ensuring they are fit for business.
  • Conduct inspections of designated areas, report issues proactively to the facilities helpdesk.
  • Own and manage issues in collaboration with the FM team.
  • Understand and monitor service delivery SLAs to ensure timely request completion.
  • Resolve daily client requests promptly, manage helpdesk tickets, and communicate progress and expectations.
  • Report hazards and safety observations via the myHSE system promptly.
  • Coordinate with health and safety vendors for regular inspections.
  • Maintain a physical presence during scheduled events, ensuring areas are well-maintained.
  • Manage community activities, ensuring the Kitchen Table Area is tidy, liaising with cleaning teams, and supporting events.
  • Engage with change champions and stakeholders during rollouts.
  • Conduct scheduled meetings and report on observations, including vacant desks.
  • Report maintenance issues to CRS Helpdesk and AV issues to Multimedia services.
  • Manage locker sets and liaise with Facilities Management, escalating as needed.
  • Participate in welcome workshops and suggest service improvements.

Technical Support On-site:

  • Perform visual inspections in critical, common, and workplace areas, reporting issues during daily floor walks.
  • Document findings and follow up on issues.
  • Manage vendor PPM work orders, ensuring timely issuance and approval of change requests.
  • Coordinate minor works, obtaining quotes, reviewing scope, and presenting justifications to clients.
  • Conduct monthly QHSE audits, reviewing vendor documentation, and ensuring procedures are followed.
