Job Title:

Admin Assistant / PA to Head of School

Key Accountabilities:
  1. Welcome visitors to the school and register them, following student protection procedures.
  2. Respond to telephone/email enquiries from parents and the public.
  3. Assist in managing the Head of Schools' diary and online calendar.
  4. Assist with all administrative duties such as photocopying, filing, etc.
  5. Assist with the coordination of afterschool activities and clubs.
  6. Understand data protection and confidentiality.
  7. Create and distribute the school's daily briefing.
  8. Work to deadlines calmly and confidently when under pressure.
  9. Assist with school events such as Parent Open Days and Performances.
  10. Handle emergency procedures like fire drills and lockdowns.
  11. Assist the Head of School with administrative tasks.
  12. Perform desk duties including calling parents for absentees and handling enquiries.
  13. Manage early pick-up and sick children sign-out.
  14. Prepare weekly attendance reports and communicate lateness to parents.
  15. File and manage documents related to absences, leave, and lateness.
  16. Liaise with teachers, SLT, administration, Admissions, facilities, and management daily.
Skills & Requirements:
  • Good general education appropriate to the role.
  • Minimum of 2 years experience in a similar role.
  • Excellent command of English, both written and verbal.
  • Understanding of reception/PA tasks with strong customer service skills.
  • Ability to multitask and support management with administrative duties.
  • Ability to build personal relationships.
