Job description

Job Purpose

As an Administrator for the Security Business Support Unit, you will review and provide comprehensive administrative support to coordinate department functions and ensure smooth daily operations. This role primarily focuses on updating and maintaining administration databases and systems. Routine interaction with contacts across other departments is expected, with advanced computer application use required regularly.

In This Role, You Will
  1. Ensure all administrative work complies with quality standards, department procedures, standards, and policies.
  2. Support the coordination of administrative materials, requests, mail, and equipment for department activities and corporate events.
  3. Provide comprehensive system support including data entry, maintenance, database updates, and report generation. Record, analyze, archive, and retrieve data as needed.
  4. Handle customer and employee requests, process transactions and queries promptly, and seek feedback to maintain high service levels. Obtain and disseminate information from relevant sections when necessary.
  5. Process transactions accurately and timely, including bill settlements and issuing relevant documentation, with necessary audits and reconciliations.
  6. Support the maintenance, issuance, and tracking of supplies, fixtures, fittings, and facilities to ensure safe operation.
  7. Additional activities may include:
  • Conducting briefings and training for new joiners across various grades.
  • Preparing induction materials and maintaining equipment for training sessions.
  • Proposing improvements and providing productivity or statistical analyses.
  • Assigning tasks to staff and updating teams on new procedures or processes.
  • Assist the GSCC Communication Coordinator by managing incoming calls, logging actions, and organizing emails for efficient responses.
  • Register and update incident reports in the incident management system, maintaining accurate logs reflecting current statuses.
  • Support monitoring at high-risk stations and regions based on identified triggers.
  • Qualifications & Experience

    To qualify, you must meet the following requirements:

    • At least 1 year of administrative experience.
    • Completion of 12 years of schooling or equivalent.
