Job Purpose

Responsibilities
  1. Maintain, update, file, and process all documentation related to Aviation Medical Licensing in coordination with doctors, establishing proper recall and filing systems.
  2. Oversee assigned areas, report workload metrics, escalate issues, and suggest improvements to processes.
  3. Manage specialised (MEDIFS) e-work flow systems through effective communication with relevant personnel.
  4. Ensure smooth operation of the telephone room, monitor call metrics, resolve issues, and escalate complex cases.
  5. Assist in training initiatives by collecting and providing information to senior team members.
  6. Reallocate resources as needed to support other clerical functions.
  7. Ensure high-quality service at the reception, including proper processing of documents and quick resolution of front-line issues.
  8. Maintain cleanliness and order in Medical Services public areas, liaising with maintenance as needed.
  9. Record bookings for conference rooms, library, and electronic equipment to ensure resource allocation.
  10. Generate and manage staff rosters to ensure adequate clinic coverage.
Qualifications & Experience
  • Minimum 3 years of administrative experience.
  • 10 years of schooling or equivalent.
  • Proficiency in spoken and written English.
  • Computer skills in Word, Excel, PowerPoint.
  • Experience operating a business telephone system.
  • Experience in a Medical or Dental environment is advantageous.
  • Customer interaction experience is an advantage.
