Job description

Insignia Group of Companies is currently recruiting an Executive Assistant/ Project Manager to support the President of The Group on all administrative tasks. You will be responsible for gathering reports, coordinating meetings, and following up on key projects. You will play a crucial role in ensuring seamless communication between The President of the Group and all Heads of Departments. Attention to detail and organisation are key for succeeding within this role.

Key Responsibilities:
  1. Provide full support for the President of the Group on various projects and tasks as required.
  2. Act as the point of contact among executives, employees, clients, and external partners on behalf of the President.
  3. Coordinate with departments to gather updates and report to the President.
  4. Manage information flow accurately and timely.
  5. Compile reports for different departments regularly.
  6. Attend all meetings involving the Executive Board and take minutes.
  7. Proofread documents and proposals.
  8. Manage the President’s calendar and organize meetings.
  9. Format communications such as memos, emails, presentations, and reports.
  10. Assist in preparing for board meetings and facilitate decision-making.
  11. Distribute UBO's instructions across departments daily and weekly.
  12. Manage multiple mailboxes to streamline communication.
  13. Organize onboarding sessions for new team members with their department heads.
  14. Support various projects as needed.
Professional Requirements:
  1. Experience supporting C-Level executives.
  2. At least 2-3 years supporting senior management.
  3. Experience in Financial Services is advantageous.
  4. Excellent communication skills, both oral and written.
  5. Paralegal background is preferred.
  6. Strong negotiation skills.
  7. Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint).
  8. Familiarity with CRM systems.
  9. Fluent in English.
