Job Purpose
To handle daily front desk terminal activities with proper coordination of the process with operations and customers, as well as managing logistics related to documentation, customs clearance, export/import bills of lading, and transportation. The role requires high coordination, punctuality, and accuracy in data entry to ensure smooth customer service and efficient receipt/dispatch of products.
Principal Accountabilities
- Coordinate and execute product dispatches according to terminal customer instructions.
- Enter product release orders into the inventory system as per customer instructions.
- Monitor and release drumming requirements, executing in the inventory system upon receipt and confirmation from the customer.
- Maintain dispatched and customs-related files with supporting documents for future customer and operational queries.
- Provide monthly product reports to customers after reconciling all deliveries and receipts with internal team confirmation.
- Monitor daily tank variance with reconciliation of dispatch entries.
- Coordinate the preparation of customs documentation with the C&F department and handle customer import/export requirements as needed.
- Execute daily schedules for drumming, blending, bulk loading, decanting, and loading based on customer priority and product availability.
- Support inventory system updates such as product codes and tank changes.
- Monitor weighbridge operations for better revenue management.
- Coordinate ordering of drums, pallets, labels, water, diesel, and tankers, liaising with transport companies as per client requirements.
- Oversee label printing activities to optimize usage and revenue.
- Provide administrative support as needed.
- Assist the Planning Manager with forecasting customer activities weekly and monthly.
- Interface with finance, administration, and operations departments and coordinate with clients to support specific services.
- Maintain good relationships internally with operations and externally with clients, vendors, and suppliers.
- Apply good numeric skills and quick analytical ability to respond to customs documentation and related challenges.
Additional Principal Accountabilities
Experience
Education: High school diploma or degree in commerce.
Experience: Minimum 10 years in logistical operations, preferably in oil and gas. Must be familiar with customs regulations, documentation, and general codes related to export/import. Awareness of transport regulations for hazardous products.
Computer skills: Proficiency in developing spreadsheets and good overall computer skills.
Language skills: Proficient in English, both written and verbal.
