Job Summary:
We are seeking a highly organized and proactive Executive Assistant / Personal Assistant (EA/PA) to support our Managing Director (MD). This role requires a high level of discretion, strong communication skills, and the ability to manage multiple tasks efficiently. The ideal candidate will provide comprehensive administrative and personal support, ensure smooth coordination between departments, and assist in organizing key events and meetings.
Key Responsibilities:
Executive Support:
- Manage the MD's calendar, schedule meetings, and coordinate appointments.
- Handle all correspondence, including emails, calls, and messages on behalf of the MD.
- Prepare reports, presentations, and documents as required.
- Organize and maintain confidential files and records.
- Conduct research and gather information for decision-making.
- Assist in all meetings and events attended by the MD.
Coordination with Department Heads:
- Serve as a key liaison between the MD and department heads.
- Ensure smooth communication and follow-up on assigned tasks and projects.
- Track progress on key departmental initiatives and update the MD accordingly.
- Schedule and facilitate leadership meetings, preparing agendas and minutes.
Event & Meeting Assistance:
- Assist the MD in planning and coordinating internal and external events.
- Support in organizing board meetings, company gatherings, and business conferences.
- Ensure all logistics, presentations, and required materials for meetings are prepared.
- Handle guest coordination and event-related arrangements.
Personal Assistance:
- Manage travel arrangements, including flights, accommodations, and itenaries
- Assist with personal tasks, including scheduling appointments and handling errands.
- Coordinate personal events, reservations, and social engagements.
Operational & Administrative Support:
- Liaise with internal teams and external stakeholders on behalf of the MD.
- Ensure smooth office operations, coordinating with relevant departments.
- Prepare minutes of meetings and follow up on action items.
- Handle expense reports and reimbursements.
Project Management:
- Assist in the execution of strategic projects as assigned by the MD.
- Track deadlines and ensure timely completion of initiatives.
- Support business development activities and networking events.
Key Qualifications & Skills:
- Bachelor's degree in Business Administration, Management, or a related field (preferred).
- Proven experience as an Executive Assistant, Personal Assistant, or similar role.
- Excellent organizational and time-management skills.
- Strong written and verbal communication skills.
- Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook) and other relevant software.
- High level of discretion and confidentiality.
- Ability to work independently and prioritize tasks effectively.
- Strong problem-solving skills and attention to detail.
- Experience in event planning and coordination is a plus.
