Job description

JOB PURPOSE

Responsible for managing administration operations and processes related to facility management, leasing administration, and fit-out projects (e.g., refurbishment, face lift, new store openings) to ensure effective support for all assigned stores from a property perspective.

Qualifications & Education

  • Bachelor's degree in business administration, accounting, property management, or equivalent.
  • Preferably with Project Management, Facility Management certification, or similar qualifications.

Experience

  • Minimum of 6+ years of experience in property management and retail leasing.
  • At least 3-4 years of experience specifically in retail is required.

Job Responsibilities

  • Manage leasing and facility management contracts, including negotiating terms, reviewing draft contracts in line with company guidelines, and overseeing contract registration and archiving to ensure compliance with company standards.
  • Monitor and report contract renewal dates and expiry, ensuring timely renewal and adherence to contractual terms to mitigate legal risks and non-compliance.
  • Register contracts in SAP for payment forecasting, process payments, and coordinate with finance, landlords, and malls to ensure timely payments, maintaining strong relationships.
  • Act as the company's representative in communications with landlords regarding mall updates, emergencies, and escalations, ensuring clear internal and external communication.
  • Monitor and enforce SLAs for store requests to facility management vendors, implementing corrective actions for delays.
  • Maintain system data accuracy related to leasing and facility management modules.
  • Coordinate store opening and closure activities with relevant stakeholders to ensure efficient and timely execution.
  • Contribute to departmental budgeting and report progress regularly, flagging any deviations.
