Job description

The Scheduling Coordinator is responsible for managing and optimizing class schedules across all locations for platform classes. This role involves analyzing class performance, collaborating with management to implement schedule adjustments, and ensuring accurate record-keeping in the Sentinel system. The Coordinator also oversees schedule updates, class coverage, and emergency coverage needs to maintain smooth daily operations.

In addition, this role supports HR processes, including managing leave requests through Bayzat, handling approvals for exclusive and freelance coaches, preparing monthly payroll reports, and generating performance reports as needed. Strong communication with the General Manager (GM), Studio Experience Managers, and the broader management team is essential for successful scheduling operations.

This position also requires being on-call to provide support to the team with any urgent scheduling needs or conflicts that may arise outside of regular working hours.

Key Responsibilities:

Scheduling Management:

  • Analyze class performance and identify trends to optimize schedules.
  • Collaborate with management to finalize schedule adjustments.
  • Communicate schedule changes with the GM and Studio Experience Managers to align with operational needs.
  • Maintain a master scheduling file for upload into Sentinel.
  • Manage the Sentinel system, ensuring all classes are accurately updated, including schedule changes and covers.
  • Coordinate class coverage across multiple locations to ensure uninterrupted operations.
  • Handle emergency scheduling needs efficiently.
  • Submit all requests for additional classes, special classes, and events to the Central Admin team for processing and coordination.
  • Remain on-call to assist the team with any urgent scheduling issues or support required outside regular hours.

HR Coordination:

  • Manage leave requests for full-time coaches through Bayzat.
  • Process approvals for exclusive and freelance coaches via email.
  • Ensure all documentation and approvals are completed and recorded in Bayzat.

Payroll & Reporting:

  • Prepare monthly payroll reports by calculating the number of classes conducted by each coach.
  • Ensure payroll data aligns accurately with records in Sentinel.
  • Submit payroll reports to management and HR for processing.
  • Generate performance reports as required, based on attendance, coach performance, or other metrics.

Administrative Support:

  • Maintain clear and consistent communication with coaches, management, the GM, and Studio Experience Managers.
  • Keep organized records of schedules, leave requests, and approvals for reporting and reference.

Collaborate with HR and management to align scheduling and workforce planning with business needs
