Job Purpose
Providing professional and effective Total Facilities Management services.
To manage facilities and engineering services effectively, along with outsourced support service providers. The primary objective is to ensure management systems are in place to maintain a safe, robust environment, achieving superior Facility Management performance across the property.
Roles, Responsibilities, Duties
- Report daily to the Associate Director on management and operational outcomes.
- Oversee all building facilities operations and maintenance activities. Design and manage auxiliary building and fit-out projects to support business growth.
- Develop strategies for efficient asset management, ensuring system, equipment, property, and asset reliability.
- Manage contracts, contractors, procurement, and support the facility’s budget.
- Communicate, negotiate, and hire subcontractors within project budgets to maintain systems or perform additional works, ensuring contractual KPIs are met.
- Generate and present reports on budgets, finances, contracts, expenditures, and procurement activities.
- Coordinate with suppliers, contractors, engineers, and others regarding equipment operation and maintenance.
- Manage resources including budget, staff, contractors, consultants, and finances to maintain and operate the facilities.
- Ensure site services are delivered effectively according to Service Level Agreements and KPIs.
- Support and communicate with clients, customers, and the FM or Workplace Manager.
- Supervise on-site activities and ensure contract compliance and adherence to contractual conditions.
- Coordinate subcontractor work in line with PPM schedules, including risk assessments and method statements.
- Plan, schedule, and review daily operational and maintenance activities related to all MEP systems, monitoring their performance.
- Organize, plan, coordinate, and monitor MEP maintenance and installation works; inspect electrical installations and related equipment as per schedules.
- Prepare and submit routine and special reports, including maintenance schedules, incident reports, and technical documentation.
- Prepare quotations and estimates, liaising with technicians for accuracy.
- Develop risk schedules to identify, evaluate, and mitigate risks.
- Work independently or in small teams, analyzing mechanical failures.
- Track project progress against schedules and address deviations or delays.
- Manage site issues such as logistics, contractor performance, and deviations.
- Supervise and motivate staff to maintain performance standards.
- Oversee estate management, contract performance, budgets, and vendor relations.
- Manage health, safety, and security protocols.
- Oversee general housekeeping, cleaning, security, reception, and pest control.
- Lead teams during project mobilization and takeover phases.
- Ensure service delivery aligns with SLAs and KPIs.
- Conduct site inspections and maintain contract compliance.
- Engage with clients and stakeholders, including client meetings.
- Perform regular inspections and track work orders using SAP.
- Manage payments and approvals with clients.
- Coordinate with teams to ensure work requests are completed satisfactorily.
- Handle defect liability periods, asset documentation, snag reports, and project follow-ups.
- Monitor and manage store inventories, materials requisition, and delivery.
Qualifications:
- Bachelor’s degree in Engineering, Asset Management, Project Management, or relevant fields.
- MBA or master's in management preferred.
- Relevant FM professional certifications are advantageous.
- Strong knowledge of health, safety, and environmental regulations.
Experience and Skills:
Competencies include budgeting, leadership, results management, performance management, organizational savvy, people development, and project management.
Experience of 7-9 years in FM, with a background in installation, maintenance, and repair in large commercial premises. Familiarity with CAFM systems, workplace health and safety policies, risk assessments, permit systems, and water treatment management is required.
