Job Description

Our client in the equipment trading industry is seeking a highly organized and detail-oriented Executive Assistant to support the Chief Operating Officer (COO). This role involves managing schedules, coordinating projects, and ensuring the smooth operation of the executive office. The ideal candidate will be proactive, professional, and capable of handling confidential information with discretion, while liaising effectively with internal teams and external stakeholders.

Responsibilities
  1. Calendar & Travel Management: Manage the COO's calendar, prioritize appointments, and coordinate travel arrangements including flights, accommodation, transport, and itineraries.
  2. Communication & Correspondence: Act as the gatekeeper for the COO's communications, screen calls, respond to emails, and draft memos, letters, and reports. Ensure clear and timely communication with all departments and external parties.
  3. Executive & Departmental Coordination: Liaise with department heads to ensure timely submission of KPIs, financial reporting, and approval workflows. Support cross-functional projects and initiatives.
  4. Project & Event Support: Track progress of special projects, compile relevant research and documentation, and organize high-level meetings and events.
  5. Expense & Office Management: Prepare, reconcile, and submit expense reports for the COO. Maintain records of departmental expenses and ensure budget adherence. Keep the executive workspace organized and well-maintained.
Requirements
  1. Bachelor's degree or equivalent work experience in a relevant field.
  2. Minimum 5 years of experience supporting senior-level executives, with UAE experience preferred.
  3. Excellent time management, organization, and multitasking skills.
  4. Strong written and verbal communication skills.
  5. High proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  6. Strong interpersonal skills and professionalism in handling sensitive information.
  7. Project coordination experience is a plus.
