Job description

Based at the Mandarin Oriental Downtown, Dubai within the People & Culture department, the Public Relations Coordinator is responsible for providing day-to-day administrative support to the PRO & P&C team. The Public Relations Coordinator reports to the Public Relations Manager.

Key Responsibilities:

  1. Maintain and update the PRO database by organizing important documents such as passports, visas, labour contracts, and education certificates.
  2. Support colleagues by organizing access to passports or labour cards and assisting with daily PRO-related queries in the PRO's absence.
  3. Track entry dates of new hires and ensure all required documents are submitted for visa processing.
  4. Coordinate with PRO and P&C for processing employment/visit visas for new starters and visa cancellations/transfers for leavers.
  5. Visit external agencies (e.g., embassies, banks, traffic departments) as needed for document submissions or follow-ups.
  6. Ensure compliance with labour laws and provide regular updates and reports to P&C on visa processing status.

Candidate Requirements:

  • Minimum 5 years of relevant experience, hotel experience preferred, with current UAE residency.
  • Fluent in Arabic and English, with excellent communication skills.
  • Valid UAE driving license and confident interaction across all organizational levels.
  • Strong administrative and organizational skills, capable of multitasking in a high-paced environment.
  • Proficient in Microsoft Office applications including Word, Excel, PowerPoint, and Publisher.
  • Discreet, tactful, and professional, with sound judgment, empathy, and the ability to handle confidential situations.
