Position: Delivery Coordinator

WHAT'S THE ROLE

We are seeking a Delivery Coordinator to support section heads in the preparation of quotations, including accurate costing of manpower, materials, and equipment. The role involves reviewing, verifying, and approving Exhibitor and Contractor utility service orders for exhibitions and events, while ensuring all details are complete and correct. The Delivery Coordinator will be responsible for requesting clarifications where necessary and advising on required revisions. In addition, the role includes tracking revenue, coordinating work schedules for staff during event build-up and dismantling phases, and ensuring all operational requirements are met in line with event and schedule plans.

WHAT DOES THE ROLE INVOLVE

  • Manage the full event delivery cycle, including order processing, budget tracking, supplier coordination, CRM updates, and delivery reporting.
  • Liaise with the Procurement team and suppliers to follow up on deliveries and ensure timelines are met.
  • Prepare annual forecasts and monthly reforecasts for procurement requirements in collaboration with the Section Head.
  • Complete outgoing records, equipment requisition forms, and offsite warehouse requisitions for materials and equipment.
  • Raise purchase requests and maintain records of inventory, including test and inspection certificates.
  • Maintain accurate records of staff holidays, sick leave, working hours, and uniform requirements in the ERP system.
  • Attend regular planning and review meetings to provide project status updates to relevant stakeholders.
  • Ensure timely and efficient resolution of customer complaints, maintaining a high standard of service delivery.
  • Provide the Event Compliance Officer with accurate inputs based on the action tracking report.
  • Support a range of administrative tasks, including team coordination, preparation of internal memos, and ensuring financial accuracy and timely execution of event-related activities.
  • Track utility orders and associated revenue to ensure proper billing and reporting.
  • Prepare discrepancy reports for any missing or damaged materials or equipment identified post-event.
