Job description

Job Responsibilities
  1. Manage matrix processes between sales, supply chain, and local teams.
  2. Maintain harmonious relationships with colleagues across departments such as Accounting, Sales, Logistics, and Compliance to foster a conducive working environment.
  3. Navigate constraints including evolving custom regulations, regional political instability (Iran, Iraq, Afghanistan, Yemen, etc.), and high competition from non-major players.
  4. Leverage favorable factors like free zone benefits, port facilities, quality infrastructure, and communication tools.
  5. Receive orders, confirm PFI, and coordinate logistics for deliveries.
  6. Plan, organize, and coordinate export shipments to designated destinations for timely loading and dispatch.
  7. Coordinate with internal departments (Logistics, Accounts, Technical, Marketing) to fulfill customer requirements per order and shipping specifications.
  8. Prepare shipping documents, including Letters of Credit, as per country requirements.
  9. Operate Letters of Credit received from customers.
  10. Liaise with banks, shipping agents, inspectors, and third-party agents, including coordinating inspections with companies like SGS, as per destination requirements.
  11. Respond to customer inquiries via telephone and email daily.
  12. Ensure all shipment documents are attested, legalized, and sent as per destination country requirements.
  13. Maintain housekeeping of old orders in the system.
  14. Collect and record VAT supporting documents, tracking received and pending documentation.
  15. Send KPI reports and forecasts to distributors monthly.
  16. Maintain updated procedures for each customer.
  17. Generate reports on sales orders, deliveries, and pending orders.
Aviation
  • Process daily air uplift orders in Avidial and SAP.
Accountabilities
  • Handle face-to-face customer inquiries.
  • Satisfy customer needs and build strong relationships through effective communication.
  • Adhere to compliance processes, guidelines, and HSSEQ policies.
  • Ensure shipments meet customer requirements and sales targets.
  • Comply with Group HSSEQ Charter, MAESTRO requirements, and local regulations, demonstrating professionalism and vigilance.
  • Notify compliance officers of any violations or non-compliance issues.
Knowledge
  • Knowledge of export documentation and Letters of Credit is advantageous.
  • Experience with SAP and data applications is preferred.
  • Project experience relevant to the role is a plus.
Skills
  • Strong interpersonal and communication skills.
  • Proficiency in English or other languages is beneficial.
  • Creative, self-motivated, organized, and capable of independent planning.

Experience
  • At least one year in Customer Service or a related industry.
Education
  • Degree in Economics, Accounting, Mathematics, Statistics, or related quantitative business sciences is preferred.
  • A Master’s degree in supply chain management is an advantage.
