The Laboratory and Space Services Analyst plays a vital role in maximizing the impact and sustainability of university infrastructure, supporting both academic research and community engagement by bridging the gap between university resources and external needs. The Laboratory and Space Services Analyst is responsible for the effective administration and commercialization of university research laboratories, general spaces, and related services. This role manages the end-to-end process for renting out laboratory facilities, specialized equipment, and general university spaces (e.g., conference rooms, event halls, meeting rooms) to both internal and external stakeholders. The Analyst ensures smooth operations, compliance with university policies, and the achievement of revenue and utilization targets.
Key Responsibilities
Lab and Space Rental Administration:
- Coordinate and manage the scheduling, booking, and allocation of research labs, equipment, and general university spaces for a variety of clients.
- Maintain accurate records of all space and lab usage, rental agreements, and client interactions.
- Prepare and process rental contracts, invoices, and related documentation in accordance with university policy.
- Monitor and update the availability of labs and general spaces on internal and external booking platforms.
- Identify and pursue opportunities to market university lab services and general spaces to industry partners, academic collaborators, event organizers, and other external entities.
- Serve as the primary point of contact for potential and existing clients regarding all rental inquiries and services.
- Develop promotional materials and participate in outreach activities to attract new clients for both lab and space rentals.
Operational Oversight:
- Ensure all lab facilities, equipment, and general spaces are maintained in optimal condition and that safety, compliance, and operational standards are met.
- Liaise with technical staff, facilities management, and security to coordinate support services for clients, including training, setup, maintenance, and troubleshooting.
- Coordinate with finance and legal departments to ensure proper billing, payments, contract compliance, and risk management.
- Prepare regular reports on utilization rates, revenue generation, client feedback, and operational issues for both labs and general spaces.
- Analyze market trends and client needs to propose improvements to service offerings, utilization strategies, and pricing models.
- Assist in developing and updating policies and procedures related to the commercialization and leasing of labs and general university spaces.
Qualifications & Skills:
- Bachelor’s degree in Science, Business Administration, Facilities Management, or a related field (Master’s preferred).
- Experience in laboratory management, facility leasing, university administration, or commercial services.
- Strong organizational and project management skills.
- Excellent interpersonal and communication skills, with a client-focused approach.
- Knowledge of health, safety, and compliance regulations in laboratory and general facility environments.
- Commercial awareness and negotiation skills.
- Proficiency in MS Office Suite and experience with facility management or booking software (preferred).
