Job Description

As a Senior Administration Assistant, you will be responsible for providing second-tier front-end administration and clerical support to the Clinic Administration Officer in designated areas such as Aviation Medicine Reception and Telephone Room (Medical and Dental). You will need to function as a responsible individual in these areas, continuously monitoring and reviewing existing processes, suggesting improvements, and assisting in implementing new procedures.

In this role, you will:
  1. Coordinate the processing of all Aviation Medical Licences for Flight and Cabin Crew, liaising with internal and external personnel to ensure protocols are followed and deadlines met.
  2. Maintain and update documentation related to Aviation Medical Licensing, establishing proper filing and recall systems in coordination with doctors.
  3. Organize and convene medical boards and meetings for Aviation Medical Offices; handle correspondence with licensing authorities.
  4. Oversee assigned areas, report workload metrics, escalate issues, and recommend process improvements.
  5. Monitor progress on specialised e-workflow systems (MEDIFS) with relevant personnel.
  6. Ensure smooth operation of the telephone room, managing call metrics and escalating complex issues.
  7. Assist senior team members with training and resource allocation.
  8. Manage reception operations to ensure high-quality service, including document processing and problem resolution.
  9. Maintain cleanliness and order in Medical Services areas, liaising with maintenance as needed.
  10. Record bookings for conference rooms, library, and equipment to ensure resource allocation.
  11. Generate team rosters and ensure adequate clinic coverage.
Qualifications

To qualify for this role, candidates should have:

  • A minimum of 3 years of general administration experience
  • Proficiency in operating a business telephone system
  • Fluency in spoken and written English; computer literacy in Word, Excel, PowerPoint
  • Experience in a Medical or Dental environment is an advantage
  • Experience in customer interaction is an advantage
