Office Administrator / Executive Assistant

We're Hiring: Office Administrator | Executive Assistant | Operational Support

Location: Dubai, UAE

Employment Type: Full-time

Experience: 3+ years preferred

We are seeking a highly organized and dependable Administrative Professional with 3+ years of experience in office management and executive-level support. The ideal candidate is skilled at streamlining operations, managing multiple priorities, and delivering high-level executive assistance with discretion and efficiency.

You’ll thrive in this role if you excel in a fast-paced, dynamic environment and have a strong ability to anticipate needs, solve problems proactively, and ensure that everything behind the scenes runs seamlessly.

Key Responsibilities

Office Administration:

•Oversee daily office operations, maintenance, and administrative processes

•Liaise with vendors, service providers, and building management

•Coordinate internal meetings, team events, and staff communications

•Maintain office documentation and filing systems

•Demonstrate proficiency in Google Sheets and support database management tasks

•Adapt to and leverage AI tools and technologies to improve administrative efficiency and streamline workflows

Executive Support:

•Manage calendars, schedules, and travel arrangements for senior leadership

•Prepare reports, presentations, and meeting materials

•Maintain confidentiality and handle sensitive information with professionalism

•Serve as the primary point of contact between executives and internal/external stakeholders

•Manage tasks independently, prioritize responsibilities effectively, and take full accountability for follow-through and completion

What We’re Looking For

•3+ years in an administrative or executive support role

Must have own visa/sponsorship (spouse/family/freelance)

• Strong organizational, communication, and multitasking skills

•Proficiency in Google Workspace (Docs, Sheets, Calendar, Gmail)

•Driving license is an added advantage

•A proactive, solutions-driven mindset with the ability to work independently
