We are seeking a highly organized, proactive, and professional Executive Assistant. The Executive Assistant will provide high-level administrative, operational, and project coordination support, ensuring the VP’s activities run smoothly and effectively. The ideal candidate will be a self-starter with strong communication skills, attention to detail, and the ability to manage confidential information in a fast-paced technical environment.

What You’ll Do

  • Manage complex scheduling and calendar coordination across internal teams, clients, and external stakeholders.
  • Organize and prepare materials for meetings, presentations, and reports; compile data and produce executive-level summaries.
  • Screen and prioritize emails, correspondence, and requests, ensuring timely follow-up and appropriate responses.
  • Coordinate domestic and international travel arrangements, itineraries, and expense reporting.
  • Act as a liaison between the VP and internal/external stakeholders, ensuring smooth communication flow.
  • Track key projects, deliverables, and initiatives, proactively following up on deadlines and action items.
  • Handle confidential information with discretion and maintain a high level of professional integrity.
  • Assist with organizing team events, meetings, conferences, and technical workshops.
  • Perform general administrative duties such as filing, record-keeping, procurement requests, and office management tasks.


Qualifications

  • Bachelor's degree or equivalent experience in business administration, management, or a related field.
  • 10+ years of related experience in large Multinational Organizations


Skills

  • Proven experience as an executive assistant or in a similar role supporting senior leadership.
  • Exceptional organizational and time-management skills.
  • Strong interpersonal and communication abilities.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Ability to handle confidential information with discretion.
  • Excellent problem-solving skills and attention to detail.
  • Flexibility and adaptability in a fast-paced environment.
  • Professional demeanor and a positive attitude.
  • Experience with project management tools and software is a plus.
  • Demonstrated ability to communicate and coordinate with others.
  • Skilled in navigating & collaborating with multiple stakeholders in a complex organization.
  • Strong sense of urgency & solid organization skills, able to resolve problems efficiently.
  • Self-motivated & driven.
