Key activities and competencies

For the construction of the PV plant in the region, ENGIE seeks a Document Controller to manage documentation between ENGIE, the EPC Contractor, and the Offtake. Responsibilities include managing the PROCORE platform, ensuring compliance, traceability, and streamlined communication throughout the project lifecycle. Responsibilities :

  • Maintain and administer the document control system (PROCORE), ensuring compliance with ENGIE and EPC requirements.
  • Establish and enforce document numbering, version control, distribution workflows, and archiving per the Master Document Register (MDR).
  • Coordinate submission, review, and approval of all project documents, including drawings, procedures, submittals, RFIs, minutes, and correspondence.
  • Track EPC document deliverables according to the MDR, schedule, and deliverable matrix.
  • Follow up on overdue responses and ensure comments are addressed and documented.
  • Facilitate communication with EPC Contractor and Offtaker, ensuring version control and audit trails.
  • Update document status logs and dashboards for reporting.
  • Manage incoming and outgoing transmittals and maintain registers.
  • Interface with legal, engineering, procurement, and QA/QC teams for confidential documents.
  • Control PROCORE access permissions and user profiles.
  • Ensure documentation for project milestones such as Design Freeze, Energization, PAC, and FAC.
  • Assist in compiling final project records, including As-Built drawings, manuals, certificates, and reports.
  • Conduct quality checks on documents for formatting, completeness, and metadata accuracy.
  • Coordinate document coding and naming conventions with EPC.
  • Provide PROCORE training and support to teams and contractors.
  • Support audits by retrieving documentation and maintaining compliance evidence.
  • Implement document retention schedules as per standards.
  • Archive final documentation and support transition to O&M phase.
  • Manage document confidentiality and sensitive information.
  • Maintain project office supplies and track usage.
  • Liaise with EPC Contractor and Owner's Engineer on administrative matters.
  • Monitor office infrastructure needs and escalate maintenance.
  • Handle site onboarding, logistics, and meeting coordination.

Required Qualifications

Qualifications :

Bachelor's degree or diploma in Business Administration, Engineering, or related field.

  • Minimum 5 years of document control experience on EPC or infrastructure projects, preferably in solar, power, or energy sector.
  • Strong knowledge of document management platforms.
  • Familiarity with project lifecycle documentation: technical submittals, quality records, RFIs, As-Built packages.
  • Understanding of ISO 9001 documentation standards.
  • Experience coordinating with multiple stakeholders and following contractual procedures.
  • Detail-oriented with excellent organizational and communication skills.
  • Fluent in English.
