A leading company in the MEP sector is seeking a Document Controller to manage and coordinate project documentation. This role involves overseeing the document workflow, preparing submissions for approvals, and ensuring an accurate flow of information among all project stakeholders. Ideal candidates should have a Bachelor's degree and relevant experience in construction document control.
Job Purpose:
The Document Controller - MEP plays a critical role in supporting the project team by managing, coordinating, and controlling all project documentation related to MEP works. This role ensures efficient processing of documents through drafting, design, submission, and approval stages, facilitating smooth project execution.
Key Accountabilities:
The incumbent will prepare, maintain, and regularly update document control registers and logs, including procurement records, material submittals, shop drawings, as-built documentation, and variation logs to maintain accurate project documentation status. They will prepare and submit project-related documents for consultant approval, such as material submittals, shop drawings, method statements, Health and Safety documentation, Risk Assessments, and Inspection and Test Plans (ITPs).
Supporting the MEP Manager, the Document Controller will generate material requisitions with complete project specifications, drawings, and Bills of Quantity (BOQ) to obtain multiple quotations from suppliers. They will compile price comparison statements and compliance reports to ensure material proposals meet project budgets and specifications, securing internal approvals prior to submission.
The role involves reviewing and rectifying documents based on consultant comments and resubmitting within stipulated deadlines, actively following up to secure timely approvals. Coordination of site and office communication is essential, including scheduling and attending site coordination meetings, preparing agendas, recording minutes, and tracking action items to resolution.
The Document Controller is also responsible for preparing completion documentation, such as as-built drawings and Operation & Maintenance Manuals, and ensuring these documents are finalized and approved at project closeout. Continuous liaison with site teams, consultants, contractors, suppliers, and internal departments ensures smooth flow of technical support and document management throughout project phases.
Experience & Qualifications:
The ideal candidate holds a Bachelor’s degree or equivalent experience in a relevant field, complemented by a minimum of one year of practical experience in document control or project coordination within construction or MEP environments.
Skills, Knowledge & Abilities:
Proficiency in Microsoft Office applications (Word, Excel, Outlook) is essential, alongside the ability to prepare clear, concise, and accurate reports. Strong communication skills, effective time management, organizational capability, and negotiation skills are critical for success in this role.
