Roles, Responsibilities, Duties
- Provide general administration and assistance as required by Document Control Department/Line Manager.
- Generate reference numbers for Khidmah correspondence.
- Maintain and organize the storing of documents and fulfill document retrieval requests.
- Data entry, processing & scanning of all document types.
- Process all the PR’s in SAP for the PCP and Document Control department.
- Raise the PR’s within 2 working days of receiving the signed invoice.
- Ensure all documents/value of the invoices are correctly updated without any duplication of PR’s.
- Track the PR’s until it reaches the payment stage.
- Follow up on a timely basis with PR approvers/follow-up payments.
- Receive & check emails & deliver them to the Concern Department.
- Coordinate with other departments to transmit documents to external entities.
- Enforce Policy and Procedures.
- Accurate utilization and timely upload of data to the Electronic Management System.
- Control Drivers Movement on a daily basis.
- Prepare Master Sheet / Logs (where required).
- Foster and maintain positive working relationships with employees and clients.
- Provide full administrative support to various departments.
Occupational and Workplace Health and Safety Responsibilities:
In addition to all job-specific responsibilities, all employees are required to adhere to all Khidmah health, safety, and environmental (HSE) policies, procedures, practices, and relevant legal and statutory health, safety, and environmental requirements and obligations. All employees are personally responsible to familiarize themselves with these policies, procedures, practices, updates, etc. Khidmah HSE department regularly updates existing and introduces new policies, procedures, and practices, and each employee is personally responsible to ensure they stay updated and compliant with all such updates and new additions.
Information Security Responsibilities:
- Comply with Khidmah Information Security Policies.
- Be aware of and fulfill their information security responsibilities.
- Ensure whoever handles sensitive company information has taken the Security Awareness Training.
- Know how to report a security incident (to IT Service Desk or InfoSec).
- Not disable his/her OS firewall and/or Antivirus.
- Restrict use to authorized purposes, protect access accounts, privileges, and associated passwords.
- Accept accountability for his/her individual user accounts and maintain confidentiality.
