Job Description

The Document Controller is responsible for managing and organizing all project-related documentation within an organization. This role ensures that documents are accurately filed, easily accessible, and in compliance with both internal policies and regulatory requirements. The Document Controller works closely with various teams, including project managers and technical staff, to ensure that all records are up to date, and supports the smooth flow of information across departments. In the UAE's fast-paced business environment, the role demands attention to detail and efficiency in managing both physical and electronic documents.

Responsibilities:

  1. Organizing and maintaining both physical and electronic documents, ensuring proper filing and easy retrieval.
  2. Coordinating with different departments to ensure that documents are accurately captured, logged, and distributed in a timely manner.
  3. Implementing and maintaining a standardized document management system that aligns with organizational needs and compliance requirements.
  4. Ensuring all project documentation, including contracts, reports, specifications, and drawings, are properly recorded and updated.
  5. Assisting with document control processes such as version control, approval workflows, and document archiving.
  6. Supporting internal and external audits by providing required documentation and ensuring compliance with UAE regulations.
  7. Tracking document submission and approvals, and ensuring adherence to deadlines.
  8. Training staff on document control procedures and tools to promote consistency and efficiency.

Requirements:

  1. Bachelor's degree or diploma in Business Administration, Information Management, or a related field.
  2. Minimum of 3-5 years of experience in document control or a similar administrative role, preferably in construction, engineering, or similar industries.
  3. Strong knowledge of document management systems (DMS) and tools.
  4. Familiarity with UAE regulations regarding documentation, data protection, and project compliance.
  5. Excellent organizational and time management skills, with the ability to handle multiple tasks simultaneously.
  6. Strong attention to detail and accuracy in document management.
  7. Proficient in Microsoft Office Suite (Excel, Word, PowerPoint) and basic knowledge of file management software.
  8. Good communication skills, both written and verbal, with the ability to collaborate with different teams.
