Job Description

We are seeking a Document Controller available to join immediately or on short notice. This site-based role in Ras-Al-Khaimah requires a minimum of 3 years of professional experience in managing document control processes and providing administrative support, ideally within the engineering or commissioning consultancy sector.

This fast-paced role offers an excellent opportunity to work on document control for high-profile multidisciplinary projects across the Middle East, maintaining high standards of quality, organization, coordination, and communication. Key Accountabilities and Activities:

  1. Registering all incoming and outgoing correspondences, MoMs, Drawings & technical submittals, possibly via online portals (ACONEX / BIM 360 etc.).
  2. Maintaining a register of all incoming and outgoing mail, including stamping and recording before distribution to the Project Manager.
  3. Controlling, tracking, and issuing project documentation such as correspondence, reports, submittals, and other relevant documents from clients and subcontractors.
  4. Implementing and maintaining a coordinated, consistent filing system, ensuring all files are up-to-date and compliant with QSE procedures.
  5. Maintaining project documentation in accordance with ISO standards.
  6. Collaborating with clients and divisional leaders to ensure high-quality outputs.
  7. Ensuring successful closeout and handover of documentation as directed by the line manager.
  8. Working closely with our multidisciplinary team to ensure coordinated outputs.

Essential Skills:

  • Degree in Business Administration or a related field.
  • Minimum of 3 years' experience in managing document control processes.
  • Previous experience with engineering consultants or architectural firms.
  • Proficiency in Microsoft Office, Aconex, BIM360, or similar Electronic Document Management Systems.
  • Experience setting up and managing document control filing systems.
