Document Controller Job Description

The following responsibilities and qualifications outline the role of a Document Controller in a construction environment:

  1. Responsibilities:
  2. Receive, register, and distribute incoming and outgoing documents including drawings, RFIs, submittals, and correspondence.
  3. Maintain accurate document logs, trackers, and filing systems (both electronic and hard copy).
  4. Ensure proper version control and revision tracking for all documents and drawings.
  5. Coordinate with consultants, contractors, and site teams for timely document submissions and approvals.
  6. Monitor deadlines for document reviews and approvals to avoid delays.
  7. Ensure all documentation complies with company standards and project-specific procedures.
  8. Assist project managers and site engineers with documentation queries and retrieval.
  9. Support audits and project close-out by organizing and providing required documentation and final handover files.
Desired Candidate Profile
  • Familiarity with document control systems and construction documentation (drawings, submittals, RFIs, etc.).
  • Proficiency in MS Office and document management software (Aconex, Procore, etc. is a plus).
  • Excellent organizational and communication skills.
  • Ability to work independently and under pressure in a fast-paced site environment.
  • Authority specialist familiar with DDA Dubai Municipality and DEWA approval processes.
