Job Summary:
We are seeking a highly organized and detail-oriented Document Controller to join our team in Dubai. As a key member of our project management team, you will be responsible for managing and controlling all project-related documents for our high-end commercial office fit-out projects. You will ensure proper document control processes are followed, maintain records, and support compliance with company and regulatory standards.
Key Responsibilities:
- Document Management: Organize, manage, and track all project documentation, including contracts, drawings, specifications, RFIs, submittals, and correspondence.
- Filing & Archiving: Maintain a structured filing system (electronic and hard copies) to ensure easy retrieval and compliance with company policies.
- Version Control: Ensure all documents are up to date, correctly labeled, and distributed to the relevant stakeholders while preventing unauthorized modifications.
- Compliance & Standards: Adhere to company document control procedures, ISO standards, and client requirements for document management.
- Communication & Coordination: Work closely with project managers, designers, contractors, and suppliers to ensure timely submission and approval of documents.
- Software & Systems: Use document control software (such as Aconex, Procore, or SharePoint) to manage workflows and document tracking.
- Reports & Logs: Maintain logs of incoming and outgoing documentation, update project records, and generate reports as needed.
- Confidentiality & Security: Ensure document security, control access, and manage sensitive project information in compliance with company policies.
Qualifications & Experience:
Minimum 3-5 years of experience in document control, preferably within the fit-out, construction, or interior design industry.
Strong knowledge of document control procedures, ISO standards, and project document management systems.
Proficiency in document control software.
Excellent organizational skills with strong attention to detail.
Ability to work under pressure and meet deadlines in a fast-paced environment.
Strong communication skills in English (written and verbal); knowledge of additional languages is an advantage.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
Experience working in Dubai or the GCC region is preferred.
