Job description

URGENT HIRING

Job Purpose: To manage, organize, and control all project and company documentation efficiently using EDMS platforms, ensure version control, support cross-functional teams, and provide administrative support related to access passes, training and other document logistics.

Document Control Responsibilities:

  1. Ensure the confidentiality and secure handling of all controlled documents.
  2. Manage all project documentation (engineering, technical, drawings and correspondence) using systems such as Wrench, MS SharePoint, etc.
  3. Implement document control procedures, including version control, numbering, and naming conventions in line with ISO standards and project requirements.
  4. Review, receive, log, and distribute project documents from contractors to PMC and internal teams.
  5. Monitor the schedule for drawing/document reviews and ensure timely submissions aligned with project timelines.
  6. Support engineering teams at project sites by maintaining accessible and accurate records.
  7. Coordinate the final handover of documentation during project close-outs and prepare audit-ready records.
  8. Generate document transmittals and maintain accurate logs for internal reporting.
  9. Maintain dashboards and prepare weekly/monthly reports for top management (e.g., CEO updates, document status).
  10. Support other administrative tasks as assigned.

Preferences: IMMEDIATE JOINERS • Candidates with ADNOC project experience will be preferred but not mandatory.

Education & Experience:

  1. Bachelor’s Degree or Diploma in Business Administration, Records Management, or a related field.
  2. Minimum 3–5 years of experience in document control, preferably in the UAE.
  3. Experience in construction / oil & gas / engineering sectors preferred.

Skills & Competencies:

  1. Knowledge and experience in the Wrench system is required.
  2. Skills in EDMS platforms (e.g., MS SharePoint, Aconex, Procore).
  3. Knowledge of ISO 9001:2015 document management practices.
  4. High attention to detail with strong organizational and time management skills.
  5. Ability to work independently, prioritize tasks, and maintain confidentiality.
  6. Excellent interpersonal and communication skills to liaise across departments and vendors.
